List heating, cooling, water heating, electrical service, roof, major appliances, and other systems that could create a large or urgent expense. Record age when known, observed condition, service history, fuel, capacity, access constraints, and any related project you expect.
Do not turn typical lifespan into a scheduled failure date. Use it to create an inspection and planning window, then adjust that window using condition, maintenance, environment, repair history, and parts availability.

Use ranges and complete scopes
A planning estimate should include more than the replacement object. Add likely permits, labor, removal, access work, code corrections, electrical or structural dependencies, and temporary disruption. Keep optional improvements separate so they can be deferred without hiding the required budget.
Use a low, planning, and high scenario rather than one precise number. Record the source and date for each estimate, then update the most urgent items with real quotes before they become emergencies.

Prioritize consequence and coordination
Rank projects by safety, probability, consequence of failure, comfort impact, lead time, and opportunity to combine work. An aging water heater above finished space may deserve earlier leak protection or replacement planning than a similar unit in a drained utility room.
Review the plan annually and after every major repair. Set aside a household reserve that reflects the overlapping high scenarios you could realistically face, not only the average annual amount.
